We all know email is an important function in our daily routine. One task that can be very time consuming is entering a list of email addresses in Outlook. If you know you’re going to be sending to a particular set of recipients on a frequent basis you will want to setup a distribution group. Distribution groups allow you to send to a group of recipients using only one name. This group can also easily be managed so you can add and delete recipients on the fly. Read on to learn the process of setting up a distribution group in Outlook.
First, you will want to open Outlook and open your address book. This can be found on the top of your toolbar.
Once you click on the address book you should see the screen pictured below:
Next you will want to click on File and then New Entry. Here you will want to select New Contact Group entry.
After clicking on the New Contact Group you should be at the following screen:
On this screen you will notice you start on the Members button. Here you will want to click on the Add Members button. You will have 3 options to choose from…
Outlook Contacts will let you choose a recipient from your personal contacts. From Address Book will let you choose recipients from the Global Address List New E-mail contact will let you create a new contact.
Let’s choose From Outlook Contacts. You should see a screen similar to this with all your contacts.
Simply double click on each contact that you would like to add to the distribution group.
After adding your contacts to the group you will want to give the group a name. This is done in the name field. When you are finished adding contacts and giving your group a name it should look similar to this.
Just click save and close and you’re done. You will now see your group in your contacts. As you can see distribution groups can save you some time on your day to day email operations.
